Meeting Room Policy

  1. Tiffin-Seneca Public Library's meeting rooms provide space for library-related activities. The scheduling needs of the Library, its Foundation, and its Friends organization take priority over all other groups.
     
  2. Groups may reserve meeting rooms up to one-hundred eighty (180) days in advance and are limited to four (4) meetings per month. Rooms are available during normal business hours. Meetings must end no later than thirty (30) minutes before closing. There is no charge to use a meeting room.
     
  3. Granting permission to use a meeting room does not in any way constitute an endorsement by the Library, its Board of Trustees, or its staff concerning the meeting’s subject matter, content, or of the points-of-view of those using the room.
     
  4. Meeting rooms may not be used for commercial purposes or for personal parties. Acceptable uses include educational, cultural, civic, political, religious, professional, or other nonprofit activities.
     
  5. The Library reserves the right to cancel or change any meeting room reservation with twenty-four (24) hours' notice. The Library may cancel meeting room reservations with less than twenty-four (24) hours’ notice due inclement weather, acts of nature, or emergencies.
     
  6. Cancellations should be made as soon as possible to allow others to use the rooms. The Library reserves the right to cancel a meeting room reservation if the meeting’s attendees have not arrived within the first half hour after the reservation start time if others are requesting the room.
     
  7. Only an adult may reserve a room. In the event of any damage to library property or equipment, that individual is liable. Groups composed principally of minors may use the rooms provided that at least one adult leader will be present throughout the meeting.
     
  8. Groups using a meeting room must observe the posted room occupancy limit.
     
  9. Tables and chairs are available for meeting use. Set-up and take-down is the responsibility of the group using the room. The group is expected to leave the room in the same condition that it was in before the meeting. Library staff should be notified of any damages or the need for trash removal.
     
  10. Meeting rooms come equipped with various audio-visual equipment. Please alert Library staff if access to the equipment is needed.
     
  11. Meetings must not disturb normal Library operations. The Library reserves the right to stop meetings or activities that are disruptive or that otherwise violate the Rules of the Library.
     
  12. Prepared food and non-alcoholic beverages are allowed in meeting rooms. No candles or open flames of any kind are permitted. No serving utensils or other catering equipment is provided, and food preparation must take place off-site.
  13. No tape, thumb tacks, or similar materials may be used on the meeting room walls.
     
  14. The Library will not market or promote outside groups’ meetings. Notices and advertisements about the meeting must not imply Library sponsorship or endorsement unless a formal partnership is in place.
     
  15. The Library reserves the right to reject any meeting room request, or cancel any reservation, if it is determined that the group has violated this policy or the Rules of the Library in the past.
     
  16. Complaints about the application of this policy should be made in writing to the Library Director according to the terms of the Library’s Formal Patron Complaints & Grievances policy.
